Cambridge International Systems, Inc. has a full-time Administrative Assistant opportunity available in Charleston, SC. Qualified candidates for this job must be eligible to obtain and maintain a DoD Top Secret security clearance. 
 
This position will play an active role in assisting multiple departments within the Administration Division and will be responsible for prioritizing and completing administrative tasks, writing and editing assignments, internal communication dissemination, desktop publishing, and other projects as assigned. 
 
ROLE RESPONSIBILTIES  

  • Performs a variety of reoccurring and project specific activities in support of multiple departments including Communications, Quality, Security, Travel, and Facilities.  

  • Assists the Director of Communication with re-occurring internal communications tasks including drafting and editing content, formatting, and sending or publishing content in accordance with the internal communications calendar.  

  • Manages corporate branded templates and formats documents using Microsoft Word, Microsoft PowerPoint, and Adobe Illustrator.  

  • Writes content and posts to corporate social media channels.  

  • Helps manage the corporate intranet by reviewing and editing policies, procedures, and other internal documents for readability and adherence with corporate branding requirements.
  • Maintain logs, oversee secure containers, and ensure adherence to security policies. 
  • Supports the Corporate Travel Coordinator with travel schedules and government logistics for international travelers. 

  • Serves as a point of contact for employee questions relating to office operations and established policies and procedures.  
  • Document and establish a procedure for collecting, assessing, and responding to compliance-related inquiries.
  • Gather, collect, record, track and verify data and information from multiple sources for departmental data analysis and reporting. 

  • Utilizes software to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations.  

  • Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practices. 
  • Serve as a secondary point of contact for security matters in the Charleston office.
  • Monitor completion of required security training and send reminders as needed.
  • Assist with updating company marketing materials using Adobe Illustrator, PowerPoint, and Stripo
  • Proofread external communications (press releases, briefings, brochures, social media)

Required QUALIFICATIONS  

  • Must be eligible to obtain and maintain a DoD TS security clearance. 
  • Strong writing/editorial skills with an eye for grammar  

  • Exceptional desktop publishing and document formatting skills  

  • Proficient in using and posting on social media platforms including LinkedIn, X, and Facebook 

  • Excellent organization skills for managing files, processes, and approvals 

  • Ability to compile metrics, prepare and provide monthly/quarterly/annual reports on time 

  • Excellent interpersonal communication skills and the ability to support a diverse team 

  • Able to independently prioritize and manage multiple tasks  

  • Willing to learn and provide feedback on areas of improvements 

  • Perform special projects as needed 

  • Must be able to obtain and maintain a Secret security clearance 

TRAVEL REQUIREMENTS  

  • In rare occasions, overnight travel may be required.  


PHYSICAL ENVIRONMENT AND WORKING CONDITIONS  

Cambridge International Systems complies with Temporary Duty Station (TDY)/Outside Continental United States (OCONUS) vaccination requirements.  If this position requires OCONUS travel (listed above), Vaccine Recommendations by AOR | Health.mil lists applicable current vaccination requirements by location.  

Office setting:  

  • Must be able to work in an office environment, sitting at a desk, looking at a computer for most of the workday.  

  • Prolonged periods of sitting at a desk and working on a computer. 

  • Work is physically comfortable; the employee has discretion about sitting, walking, standing, etc.  

  • May be required to travel short distances to offices/conference rooms and buildings on site.
